About the Role
We are looking for an organized and detail‑oriented Administrator to manage vehicle invoicing, licensing, and related financial tasks for our used vehicle department. The role requires strong communication skills, basic bookkeeping knowledge, and the ability to work independently while supporting the sales and stock teams.
Key Responsibilities
- Accurately invoice vehicles in line with purchase offers.
- Capture purchase invoices daily and bring vehicles into stock.
- Process vehicle sales invoices and create purchase orders for suppliers.
- Raise cheque requisitions and verify creditor invoices.
- Follow up with suppliers on outstanding invoices.
- Prepare monthly reports on outstanding orders.
- Balance vehicle costing in Automate against the department manager’s cost sheet.
- Ensure all required documentation is in the deal file before invoicing.
- Assist the stock controller with sales card reporting.
- Allocate daily debtor updates to the back office.
- Report any deviations to the Financial Manager.
- Conduct twice‑weekly stock takes and update retail prices.
- Manage the demo fleet and update reports to Matrix and back office.
- Handle registration and licensing documents for the used vehicle department.
- Collaborate closely with Sales Executives and Sales Managers.
- Attend OEM training courses and other development opportunities.
Required Experience
- At least two years of administrative experience in the motor industry, including a minimum of six months in invoicing.
- Experience in an automotive retail environment (cashier or sales) is preferred.
Qualifications
- Senior Certificate (Grade 12) or equivalent.
Other Requirements
- Valid, unendorsed driver’s licence.
- Computer literate.
- Working knowledge of Automate.
- Basic arithmetic and bookkeeping skills.
- Understanding of dealership stock and sales policies.
- Knowledge of retail industry compliance is an advantage.
