About the Role

Magnis UD Pretoria East is looking for an Administrator to handle costing and warranty claims. You will report directly to the Service Manager and work closely with the service team to ensure accurate and timely processing of job cards and warranty claims.

Key Responsibilities

  • Accurately cost job cards following company policy.
  • Match invoices, outwork invoices, and orders to the correct job cards.
  • Calculate mark‑ups correctly.
  • Clear all debtor accounts in advance.
  • Verify that repair orders are signed by the owner.
  • Confirm technicians have completed their work records.
  • Check recorded technician clock times.
  • Ensure parts department confirms parts supplied and signs off.
  • Handle invoicing and mark‑ups.
  • Process warranty claims accurately and on time.
  • Gather correct information on warranty claims, including customer complaints and defect causes.
  • Collect all required documentation for each claim.
  • Attach claim tags to parts and forward them promptly.
  • Review the suspense file daily.
  • Track claim status and report to the Manager.
  • Maintain the claims register and confirm payment receipt.
  • Assess vehicle eligibility for warranty work.
  • Confirm that all warranty parts are tagged and stored correctly by technicians.
  • Submit warranty claims according to distributor guidelines.
  • Assist with other reasonable duties as needed.
  • Attend all training courses provided by the distributor.

Additional Sales Responsibilities

  • Prospect for sales opportunities.
  • Conduct vehicle sales.
  • Manage customer relationships.
  • Carry out effective sales promotion activities.

Qualifications

  • Minimum Grade 12.
  • At least 3 years of experience in warranty and costing administration.
  • Motor industry experience is an advantage.
  • Excellent verbal communication skills.
  • Computer literacy is essential.
