Executive Management Assistant (Executive Director: People and Culture)

The University of Pretoria is a leading research-intensive institution in South Africa, recognized for its high research output and for producing the largest number of graduates in the country. We are currently seeking a highly skilled Executive Management Assistant to support the Executive Director: People and Culture.

Role Overview

The successful candidate will provide high-level administrative, secretarial, and strategic support. This role is essential for the effective functioning of the Executive Director’s office, involving coordination with internal and external stakeholders and the management of critical departmental operations.

Key Responsibilities

  • Provide comprehensive executive support to the Executive Director: People and Culture.
  • Manage complex diaries, travel arrangements, correspondence, and meeting schedules.
  • Coordinate and prepare documents for executive committees, governance structures, and senior management meetings.
  • Draft, edit, and ensure the quality of high-level reports, presentations, and submissions.
  • Act as the primary point of contact for the office, handling internal and external inquiries professionally.
  • Monitor action items and deadlines to ensure all decisions are executed effectively.
  • Manage documentation, records, and departmental assets.
  • Assist with strategic initiatives, projects, and event logistics within the People and Culture portfolio.
  • Handle financial administration, procurement processes, and travel budgets.
  • Ensure all activities comply with institutional policies and governance requirements.

Minimum Requirements

  • A relevant degree or diploma in Office Administration, Business Administration, or Secretarial Studies.
  • At least five (5) years of experience in a senior or executive management support role (experience in higher education is preferred).
  • Advanced proficiency in MS Office and administrative systems.
  • Knowledge of financial and procurement systems.
  • Excellent written and verbal communication skills.
  • A valid driver’s license.

Preferred Qualifications

  • An Honours degree in Business Administration or a related field.
  • Specific experience as an Executive Management Assistant (3+ years).
  • Certification in Project Management.
  • Professional registration with a recognized Secretarial Body.

  • Excellent organizational and time management skills with the ability to work independently.
  • High level of professionalism and the ability to maintain strict confidentiality.
  • Strong problem-solving skills and the ability to work under pressure.

  • Strong relationship management and interpersonal skills.
