Personal Assistant: Chief Director (Internal Audit and Audit Committee)

The Northern Cape Provincial Treasury is seeking a professional Personal Assistant to support the Chief Director for Internal Audit and the Audit Committee. The successful candidate will help ensure efficient service delivery and assist in aligning strategic plans with the Provincial Growth and Development Strategy.

Requirements

  • An NQF Level 6 qualification in Secretarial Studies, Office Administration, or Management.
  • 2 to 3 years of experience in a similar administrative role.

Key Responsibilities

Office and Reception Support

  • Manage the Chief Director’s telephone calls and enquiries with professional discretion.
  • Host and coordinate virtual meetings.
  • Perform advanced typing and document preparation.
  • Manage the Chief Director’s calendar, including scheduling appointments and prioritizing urgent meetings.

Administrative Coordination

  • Ensure the smooth flow of information and documents within the office.
  • Maintain a secure and organized filing system in line with official policies.
  • Draft reports, including progress, monthly, and management reports.
  • Coordinate travel arrangements and manage the leave register for the Chief Directorate.
  • Handle the procurement of office supplies and stationery.

Meeting Support

  • Prepare agendas, briefing notes, and document packs for meetings and the Joint Audit Committee.
  • Record minutes and track decisions to ensure follow-up actions are completed.
  • Manage boardroom bookings and logistical arrangements for events.

Budget and Financial Assistance

  • Assist the Chief Director with budget submissions and monitor spending to prevent over- or under-expenditure.
  • Process travel and subsistence claims.
  • Keep records of expenditure and prepare draft memos for fund transfers when necessary.
  • Collect and organize all financial documentation for the unit.

Compliance and Policy

  • Stay up to date with Public Service and departmental policies to ensure all work follows official procedures.
  • Maintain a high standard of professional knowledge regarding office processes.
