We are currently looking for a professional and organized Administrative Assistant to join our team in Port Elizabeth.

The Role

The purpose of this position is to provide reliable office support. You will handle general administration, manage the reception desk and switchboard, and assist with client-related documentation to ensure the office runs efficiently.

Key Responsibilities

Office Administration

  • Order and manage general office supplies.
  • Organize and coordinate courier services.
  • Follow up with clients regarding seminars and event attendance.
  • Manage and update Adviser diaries.

Reception Duties

  • Answer and redirect incoming calls and take accurate messages.
  • Manage reservations for boardroom meetings.
  • Greet and assist all clients and visitors arriving at the office.
  • Schedule appointments with clients and prospects on behalf of Advisers.

Client Administration

  • Maintain up-to-date knowledge of product provider websites and contact details.
  • Upload and update client information on the company system.
  • Prepare investment statements, tax certificates, and correspondence.
  • Set up and maintain physical and electronic client files (MyPractice).
  • Submit and monitor new applications or account changes.

Minimum Requirements

  • Grade 12 (Matric).
  • 1 to 2 years of administration experience, preferably within the financial services industry.
  • Proficiency in Microsoft Office, specifically Excel and Word.
  • Fluent in written and spoken English and at least one other official South African language.

  • Excellent time management and organizational skills.
  • A strong team player who can also work independently.
  • Professional and presentable appearance.
  • Strong orientation toward client service.
  • High level of attention to detail.
