The Role
The purpose of this position is to provide reliable office support. You will handle general administration, manage the reception desk and switchboard, and assist with client-related documentation to ensure the office runs efficiently.
Key Responsibilities
Office Administration
- Order and manage general office supplies.
- Organize and coordinate courier services.
- Follow up with clients regarding seminars and event attendance.
- Manage and update Adviser diaries.
Reception Duties
- Answer and redirect incoming calls and take accurate messages.
- Manage reservations for boardroom meetings.
- Greet and assist all clients and visitors arriving at the office.
- Schedule appointments with clients and prospects on behalf of Advisers.
Client Administration
- Maintain up-to-date knowledge of product provider websites and contact details.
- Upload and update client information on the company system.
- Prepare investment statements, tax certificates, and correspondence.
- Set up and maintain physical and electronic client files (MyPractice).
- Submit and monitor new applications or account changes.
Minimum Requirements
- Grade 12 (Matric).
- 1 to 2 years of administration experience, preferably within the financial services industry.
- Proficiency in Microsoft Office, specifically Excel and Word.
- Fluent in written and spoken English and at least one other official South African language.

- Excellent time management and organizational skills.
- A strong team player who can also work independently.
- Professional and presentable appearance.
- Strong orientation toward client service.
- High level of attention to detail.
