Job Opportunity: Executive Secretary

The City of Tshwane is looking for a professional and organized Executive Secretary to join the Office of the City Manager. This is a full-time position based in Gauteng, suitable for an individual with strong administrative skills and a professional attitude.

Minimum Requirements

  • Grade 12 (Matric) certificate plus a secretarial qualification or specialized training.
  • At least two years of relevant secretarial experience.
  • Proficiency in computer software and general office technology.
  • Successful candidates must undergo a criminal record check and provide fingerprints to the Tshwane Metro Police Department.

Primary Responsibilities

The successful candidate will provide high-level support through the following duties:

Administrative and Office Support

  • Manage professional communication with various stakeholders and visitors.
  • Provide comprehensive office administration and secretarial services.
  • Type, proofread, and edit official reports, letters, minutes, and presentations.
  • Manage data backups and ensure all documentation is accurate and organized.

Meeting and Event Coordination

  • Organize meetings, workshops, and conferences, including venue bookings and catering.
  • Manage the City Manager’s diary, confirm appointments, and arrange parking for guests.
  • Prepare agendas and supporting documents to ensure all parties are ready for meetings.
  • Compile guest lists and manage attendance registers.

Logistics and Asset Management

  • Ensure office equipment like photocopiers and scanners are well-maintained and report any faults.
  • Keep the office environment and computer equipment clean and functional.
  • Maintain and update the asset inventory for the office.

Professionalism and Ethics

  • Act as a professional representative of the City of Tshwane.
  • Maintain a high level of confidentiality and trust with the City Manager.
  • Proactively develop skills and learn new software applications during quiet periods.
