Role Overview
The Admin Clerk for Certification ensures that all maritime certificates and documents meet strict national and international standards. This role is vital for maintaining the integrity and authenticity of maritime qualifications in compliance with global conventions.
Key Responsibilities
Document Processing and Issuing
- Process, issue, and revalidate certificates of competency, proficiency, and other statutory maritime documents.
- Verify applications to ensure they meet quality standards and international agreements (such as the STCW Convention).
- Identify and report any suspicious or fraudulent certificates to the Deputy Registrar of Seafarers.
Quality Assurance
- Follow set procedures to perform quality control checks on all documents.
- Identify errors, determine their causes, and implement solutions to prevent them from happening again.
- Suggest ways to improve standard operating procedures and internal audits.
Administration and Data Management
- Keep electronic databases up to date and prepare statistics for reporting.
- Ensure all documents are tracked securely and filed correctly.
- Handle financial tasks, including invoicing for services according to fee regulations.
Stakeholder Engagement and Support
- Advise clients on the latest maritime notices, circulars, and legislative changes.
- Respond to queries and complaints from internal and external stakeholders professionally.
- Assist in training and coaching new administrative staff.
- Verify the accreditation status of training institutions, medical practitioners, and examiners.
Job Requirements
Qualifications:
- Matric Certificate (NQF 4).
- National Certificate in Administration (NQF 5) is essential.
- A National Diploma in Administration (NQF 6) will be an advantage.
Experience and Skills:
- At least 3 years of experience in an administrative role.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, and Outlook).
- Experience in or knowledge of the maritime industry is a plus.
