Role Overview

The South African Radio Astronomy Observatory (SARAO) is looking for a Travel Coordinator to join our team. The main purpose of this role is to manage ground and air travel for staff and visitors traveling between Cape Town, Gauteng, and the SKA-Mid telescope site near Carnarvon. You will also provide administrative support and help with reception duties when needed.

Key Responsibilities

  • Travel Planning: Organize site travel, accommodation, and transport for staff. This includes creating detailed itineraries for regular travel days (Mondays, Wednesdays, and Fridays).
  • Service Coordination: Work closely with charter flight providers to check availability, get quotes, and book flights for staff and VIP tours.
  • Logistics Management: Maintain accurate records of air and road transport, including passenger lists, freight manifests, and vehicle schedules.
  • Financial Support: Match travel invoices with booking documents to help the finance team process payments and track costs correctly.
  • Communication: Act as the main contact point between the organization and travel service providers.
  • Administrative Support: Assist at the reception desk, answer phone calls, and greet visitors as required.

Requirements

  • Education: A National Diploma in Hospitality, Travel, or a related field.
  • Experience: At least 3 years of work experience in the travel industry or senior administration.
  • Licenses: A valid driver’s license.

Knowledge and Skills

  • Ability to set up and manage travel tracking systems.
  • Understanding of cost centers and budget tracking.
  • Proficiency in travel booking software.
  • Strong skills in report writing and taking meeting minutes.
  • Knowledge of contract creation and a passion for customer service.
