Role Purpose
The department is seeking a Registry Clerk to provide essential administrative support. This role focuses on managing official records, handling correspondence, and ensuring that the registry office operates smoothly.
Minimum Requirements
- A National Senior Certificate (Matric).
- No prior experience is required; however, previous exposure to an office or registry environment will be considered an advantage.
Key Responsibilities
Registry and Correspondence
- Provide professional registry services to clients.
- Handle telephonic and walk-in inquiries.
- Receive, register, and distribute incoming and outgoing mail and files.
- Maintain the franking register and ensure all outgoing mail is correctly processed and secured for delivery.
Record Management and Filing
- Open and close files according to the official record classification system.
- Organize, store, and retrieve documents and files efficiently.
- Keep index cards updated for all departmental files.
- Conduct electronic scanning of documents for digital record-keeping.
Administrative Duties and Remittances
- Operate various office machines required for registry functions.
- Maintain the remittance register by recording all valuable articles received.
- Ensure remittances are hand-delivered and signed for by the Finance department.
- Perform regular spot checks on outgoing mail.
Archiving and Disposal
- Sort and package files for archiving or disposal.
- Compile detailed lists of documents to be archived and submit them to supervisors.
- Maintain accurate records of all archived documentation.
