Role Overview

We are looking for a dedicated Export Sales Assistant to join our Head Office team in the West Rand. In this role, you will support the Export Sales team by managing international accounts, processing orders, and coordinating logistics to ensure our global operations run smoothly.

Key Responsibilities

Sales & Customer Support

  • Help the Export Sales Manager manage international client accounts.
  • Prepare price quotations, proforma invoices, and sales contracts.
  • Respond to customer inquiries quickly via email and phone.
  • Build and maintain strong relationships with international distributors.
  • Follow up on customer payments and outstanding balances.

Order Processing & Documentation

  • Process export orders accurately using our internal system.
  • Prepare and check essential export documents such as commercial invoices, packing lists, and certificates of origin.
  • Coordinate with freight forwarders and shipping lines.
  • Ensure all shipments follow international trade regulations.

Logistics Coordination

  • Track shipments and keep customers updated on delivery dates.
  • Work with the warehouse and production teams to ensure orders are sent out on time.
  • Solve any issues related to shipping or missing documentation.

Administration & Reporting

  • Maintain up-to-date sales records and customer databases.
  • Prepare monthly sales reports.
  • Assist with market research and prepare documents for international trade fairs.

Requirements

  • A Diploma or Degree in Business Administration, Sales, Retail, or a related field.
  • 1–3 years of experience in export sales or international trade.
  • Knowledge of export procedures and shipping documents.
  • Familiarity with Incoterms and customs regulations is a plus.

Skills and Competencies

  • Strong communication and people skills.
  • Excellent organizational skills and the ability to handle multiple tasks.
  • High attention to detail and accuracy.
  • Proficiency in MS Office (Excel, Word, and Outlook).
  • Experience using ERP systems is an advantage.
  • Ability to work well under pressure and meet strict deadlines.
