Administration Officer – Supply Chain Management (SCM)

Requirements
- Grade 12 certificate with at least three (3) years of experience in a supply‑chain environment within a government institution, serving as a Supply Chain Clerk (service certificate required when shortlisted).
- Relevant degree or National Diploma (NQF 6) in Commerce / Supply Chain Management or an equivalent qualification is an added advantage.
- Computer literacy (MS Office).
- Knowledge of SAP system.
- Knowledge of procurement policies and procedures, PFMA, Treasury Regulations, SCM Framework, PPPFA, BBBEE Act, Public Service Act and Regulations, PAIA, and government procurement systems.
- Understanding and interpretation of the Central Supplier Database (CSD).
- Working knowledge of SAP, SRM and BAS.

Duties
- Ensure compliance with SCM policies and procedures.
- Provide efficient SCM services.
- Assist management with implementation and maintenance of procurement systems.
- Verify procurement requests and ensure compliance with procurement policies and CSD usage to achieve BBBEE targets.
- Update procurement registers and prepare monthly procurement reports.
- Monitor requisitions captured on SRM and P‑Card.
- Follow up with HPC for purchase order creation.
- Expedite deliveries and ensure timely capturing of GRVs.
- Monitor daily work cycles and report weekly progress to management.
- Compile submissions, motivations and reports.
- Manage SCM‑related queries and provide guidance to end users.
- Facilitate and manage contract processes and registers.
- Supervise consumables warehouses, stock receiving, capturing, availability and accuracy.
- Conduct cycle counts and ensure compliance with warehouse regulations.
- Maintain proper record management.
- Monitor transport, fleet management and security compliance.
- Supervise, train and manage staff performance (PMDS).
- Respond to internal and external audit queries and implement recommendations.
