Job Overview
We are seeking a professional Administrative Assistant to join our team. This role focuses on managing front-desk operations, providing administrative support to residence staff, and helping coordinate events and meetings to ensure the smooth running of our university residences.
Key Responsibilities
Front Desk & Reception
- Greet residents and visitors in a professional and friendly manner.
- Manage incoming calls, take messages, and direct inquiries to the right departments.
- Provide information regarding residence services, policies, and facilities.
- Handle incoming and outgoing mail and packages.
Administrative & Staff Support
- Assist residents with their requests and concerns to ensure a positive living environment.
- Provide clerical support to senior administrative assistants and residence officers.
- Manage the Head of Residence’s schedule, including appointments and correspondence.
- Handle data entry, filing, scanning, and document preparation.
Meeting & Event Coordination
- Schedule meetings, book venues, and arrange travel logistics.
- Prepare meeting agendas, take minutes, and distribute materials to attendees.
- Plan and organize residence events such as workshops, social gatherings, and orientation sessions.
- Coordinate catering and equipment for various functions.
Minimum Requirements
- Education: Grade 12 (NQF Level 4). A Degree or Diploma is highly recommended.
- Experience: At least 2 years of general administrative experience.
- Specialized Experience: Minimum of 2 years working within a university residence environment.
- Licensing: A valid driver’s license with at least 2 years of driving experience.
Technical & Behavioral Skills
- Proficient computer skills.
- Strong analytical and problem-solving abilities.
- Excellent interpersonal and communication skills.
