About the Role
The Administrator will manage all invoicing and licensing tasks for the used vehicle department. You will work closely with sales, finance and suppliers to keep records accurate and up to date.
Key Responsibilities
- Invoice vehicles accurately and on time according to purchase offers.
- Capture purchase invoices daily and bring vehicles into stock.
- Invoice vehicles out and create purchase orders for suppliers.
- Raise cheque requisitions following company policy.
- Verify creditor invoices and follow up on outstanding amounts.
- Prepare monthly reports on outstanding orders.
- Balance vehicle costing in Automate against the manager’s cost sheet.
- Ensure all required documents are in the deal file before invoicing.
- Assist the stock controller with sales card reporting.
- Allocate daily debtor updates to the back office.
- Report any deviations to the Financial Manager.
- Conduct stock takes twice a week and update retail prices.
- Manage the demo fleet and update reports to Matrix and back office.
- Handle registration and licensing documents for used vehicles.
- Collaborate with Sales Executives and Sales Managers.
- Attend OEM training courses and other development opportunities.
Experience & Qualifications
Required Experience:
- At least two years of administrative work in the motor industry, including a minimum of six months invoicing experience.
- Experience in automotive retail as a cashier or sales role is preferred.
Education: Senior Certificate (Grade 12)
Other Requirements
- Valid, unendorsed driver’s licence.
- Computer literate.
- Working knowledge of Automate.
- Basic arithmetic and bookkeeping skills.
- Understanding of dealership stock and sales policies.
- Knowledge of retail industry compliance is an advantage.
