Minimum Requirements
- A National Diploma or Degree in Supply Chain Management (SCM), Logistics, Finance, or Public Administration.
- At least 2 years of working experience as a Secretary within a supply chain environment.
- A valid driver’s license.
- Registration with a relevant professional body will be an advantage.
Key Responsibilities
Reporting to the Supply Chain Manager, the successful candidate will provide essential secretarial and administrative support to the SCM Bid Committees. Primary duties include:
- Meeting Coordination: Prepare agendas, meeting packs, and invitations. Ensure committee members are appointed officially and accept their roles in writing.
- Record Keeping: Attend all committee meetings to record accurate minutes. Track resolutions, recommendations, and attendance registers.
- Compliance and Governance: Conduct compliance checks on bid documents before they reach the committee. Ensure all operations follow PFMA/MFMA, PPPFA, Treasury Regulations, and internal SCM policies.
- Information Management: Maintain secure and confidential filing systems for both digital and physical bid documents. Ensure all registers (declarations of interest, decisions, etc.) are up to date.
- Reporting and Audit Support: Prepare accurate weekly, monthly, and quarterly reports. Assist the SCM department during audits by providing necessary bid information and records.
- Operational Support: Coordinate with internal departments and evaluation teams to ensure sessions are scheduled and procurement timelines are met.
