The Role: Buyer’s Assistant

We are looking for a resilient, hardworking, and detail-oriented team player to join us as a Buyer’s Assistant. In this role, you will provide essential administrative and general support to our Buying team to ensure smooth operations.

Key Responsibilities

Procurement Administration

  • Update and maintain internal systems with accurate information.
  • Capture and monitor all purchase orders.
  • Assist with the creation and updating of style cards.
  • Manage and maintain organized filing systems.
  • Follow up on samples to ensure on-time delivery.

Sample Management

  • Organize and maintain all incoming and outgoing samples.
  • Manage sample rails and storage areas.
  • Support the marketing team by providing samples for photo shoots and campaigns.

Communication & Coordination

  • Follow up on various sample stages (Red-seal, Green-seal, Fit, and Marketing samples).
  • Maintain professional communication with both internal departments and external partners.
  • Build strong, trusting relationships with key stakeholders.

Requirements

Qualifications

  • Matric (Essential).
  • A tertiary qualification in Retail, Fashion, Administration, or a related field (Preferred).

Experience

  • At least 1 year of experience in a Buyer’s Assistant or administrative role, preferably within a retail or buying environment.

Skills and Competencies

  • Proficiency in Microsoft Office (Word, Excel, and Outlook).
  • A basic understanding of the clothing retail cycle and buying process.
  • Strong planning, organizing, and time management skills.
  • The ability to work accurately and quickly under pressure.
  • Strong communication skills and the ability to be assertive when necessary.
  • A proactive approach with the flexibility to adapt to changing deadlines.
  • The ability to be “hands-on” and manage tasks independently when Buyers are traveling.
