About the Organization
The U.S. Mission in South Africa consists of a dedicated team of approximately 346 U.S. and 620 locally engaged staff. We represent 28 different government departments and agencies. In addition to our Embassy in Pretoria, we operate Consulates in Johannesburg, Cape Town, and Durban.
Role Overview
We are seeking a highly organized and proactive professional to lead our Customer Service Center (CSC) and oversee property management at the Consulate. This role acts as a “One-Stop Shop” for management support, ensuring high efficiency, compliance with property policies, and excellent service for our staff.
Key Responsibilities
Customer Service Management
- Act as the primary point of contact for all management and support services.
- Assist U.S. staff and their families during their arrival and departure, coordinating housing and office setups.
- Manage customer expectations, resolve complaints, and look for ways to improve service delivery.
- Oversee canteen operations, including inventory and vendor compliance.
Property and Asset Management
- Receive, track, and manage government property, including furniture, equipment, and IT assets.
- Inspect new deliveries, assign asset barcodes, and maintain accurate electronic records.
- Coordinate the storage, disposal, and annual inventory of assets according to regulations.
Reporting and Documentation
- Keep precise records of all assets and prepare reports for transfers or disposals.
- Use specialized inventory systems (ILMS) to ensure full accountability for all property.
Requirements
- Education: Completion of High School (Matric).
- Experience: At least 3 years in a customer-focused role with strong communication duties.
- Language: Must be fluent in English (speaking, reading, and writing).
- Driver’s License: Must have a valid driver’s license held for at least five (5) years.
- Clearance: Ability to obtain and hold a security clearance and pass a background investigation.
Knowledge and Skills
- Strong understanding of inventory management and office procedures.
- Familiarity with local South African business practices, laws, and VAT regulations.
- Proficiency in Microsoft Office and basic mathematics.
- Excellent problem-solving skills and the ability to work independently.
- Strong interpersonal skills with a focus on providing high-quality customer service.
