We are currently seeking a professional and dedicated Executive Personal Assistant to support the Office of the Registrar.

Position Purpose

The primary goal of this role is to provide high-level administrative and secretarial support to the Registrar. You will ensure the office operates efficiently and maintains a high standard of professionalism at all times.

Key Responsibilities

Executive Support and Diary Management

  • Manage the Registrar’s complex calendar, including scheduling meetings, conferences, and events.
  • Screen and prioritize emails, letters, and phone calls; handle routine inquiries independently.
  • Prepare meeting packs and documentation, and brief the Registrar on important issues.
  • Coordinate travel arrangements, including bookings and detailed itineraries.
  • Support major institutional events such as graduations and campus ceremonies.
  • Assist with student record verifications and compliance tasks.

Office and Resource Management

  • Ensure all office equipment and furniture are in good working order and arrange repairs when needed.
  • Manage the procurement of office supplies and services through the correct channels.

Administration and Information Management

  • Maintain organized physical and electronic filing systems.
  • Act as a liaison between the Registrar and other staff members, following up on tasks and assignments.
  • Research and review information from internal and external sources.
  • Draft, edit, and type professional correspondence, memos, and reports.

Committee Support

  • Coordinate appeals processes and schedule committee meetings.
  • Ensure all necessary documentation is distributed to committee members on time.

Minimum Requirements

  • A Bachelor’s Degree or Advanced Diploma (NQF level 7) in Administration or a related field.
  • At least three (3) years of experience in a secretarial or administrative role.
  • At least two (2) years of experience working within a university or higher education environment.
  • Training in standard office software applications is considered an added advantage.

Required Skills and Competencies

  • Technical Knowledge: Strong understanding of office procedures, file management, and administrative systems.
  • Organization: Excellent ability to prioritize tasks, meet deadlines, and work under pressure.
  • Communication: High level of proficiency in English. Ability to communicate in Setswana, Sesotho, or Afrikaans is a plus.
  • Professionalism: Ability to maintain strict confidentiality and build positive relationships with colleagues and clients.
  • Attention to Detail: High level of accuracy in document preparation and data management.
  • IT Literacy: Confident in using Microsoft Office and other digital office tools.
