Position: Monitoring and Evaluation (M&E) / Admin Officer

Location: Eastern Cape

Purpose of the Job

The M&E / Admin Officer ensures that program data is accurate, complete, and submitted on time using digital systems like DHIS2 and MobiEMR. This role also provides essential administrative, project management, and organizational support to the AYP (Adolescent and Young People) program team.

Minimum Requirements

  • Matric Certificate.
  • Higher Certificate in Asset Management, Supply Chain Management, or Financial Management.
  • At least 5 years of experience in office administration.
  • Proven experience in data management and reporting.
  • Proficiency in Microsoft Excel (filters, pivot tables, and basic analysis).
  • Experience using electronic data systems (like MobiEMR or similar).
  • Knowledge of data privacy (POPIA) and data quality standards.
  • Valid Driver’s License (essential).
  • Clear criminal record and willingness to travel.
  • Experience with HIV prevention or AGYW programs is an advantage.

Key Responsibilities

Monitoring and Evaluation (M&E)

  • Maintain high standards for data quality.
  • Support the team in making decisions based on accurate data.
  • Prepare documentation for audits and supervision visits.
  • Help staff record services correctly using approved digital tools.
  • Verify that digital data matches physical source documents.
  • Ensure all files are scanned, named, and stored correctly.

Administrative and Office Support

  • Manage the reception area and answer phone calls.
  • Prepare meeting agendas, set up boardrooms, and take meeting minutes.
  • Maintain organized filing systems and monitor office equipment.
  • Manage office supplies and stationery levels.

Asset and Supply Chain Management

  • Keep updated records of all company assets and vehicles.
  • Ensure equipment is regularly serviced and maintained.
  • Track supplies given to program staff.
  • Collect supplier quotes and handle orders for goods and services.
  • Manage petty cash and process invoices for payment.

HR and Training Support

  • Help coordinate staff training sessions.
  • Collect and organize HR documents like leave forms, contracts, and timesheets.
