Our client in the construction industry is looking for a proactive and detail-oriented Office Assistant with Reception Responsibilities to join their team in Edenvale, Gauteng. This is a full-time position suited for a motivated professional with at least four years of experience in a similar role.

Minimum Requirements

  • Matric certificate (Grade 12).
  • At least 4 years of experience in office administration and reception.
  • Advanced skills in Microsoft Word, Excel, and Outlook.
  • Professional communication skills and excellent telephone etiquette.
  • A valid driver’s license and personal vehicle (highly advantageous).
  • Previous experience in the construction industry is a plus.

Key Responsibilities

Reception & Front Office

  • Welcome and assist clients and visitors professionally.
  • Answer and direct phone calls and handle general inquiries.
  • Keep the reception area and meeting rooms tidy and organized.
  • Schedule appointments and manage boardroom bookings.
  • Prepare agendas and take accurate minutes during meetings.
  • Handle incoming and outgoing mail and courier deliveries.

Fleet Management

  • Monitor vehicle usage and issue checklists to drivers.
  • Arrange vehicle servicing, roadworthy tests, and license renewals.
  • Handle insurance claims and incident reports.
  • Reconcile fleet statements and maintain accurate logbooks.
  • Submit monthly fleet management reports.

Building Maintenance & Security

  • Oversee general maintenance of the office building.
  • Manage health and safety equipment and security systems.
  • Enforce safety protocols and manage access control.

Travel & Administration

  • Book flights, car rentals, and accommodation for staff.
  • Order and manage office supplies, stationery, and groceries.
  • Coordinate with IT providers for system setups or issues.
  • Assist with data entry, filing, and preparing documents.
  • Help organize company events and expos.

Communication & Compliance

  • Manage company telecommunications and internet providers.
  • Coordinate the printing of marketing materials like business cards.
  • Maintain insurance records and assist with health and safety audits.
