Position Overview
We are looking for a professional and organized Personal Assistant to provide high-level administrative support to a Senior Manager. The ideal candidate will ensure the office runs smoothly and that all communications and schedules are handled with care and efficiency.
Requirements
- Grade 12 (Matric) plus a Secretarial Diploma or a related qualification.
- 3 to 5 years of experience providing administrative support to Senior Management.
- Excellent communication and organizational skills.
Key Responsibilities
Office Administration and Communication
- Manage incoming calls and handle inquiries professionally.
- Coordinate the flow of documents and information within the department.
- Liaise with key stakeholders and customers on behalf of the office.
- Perform advanced typing and maintain a secure, organized filing system.
Diary and Meeting Management
- Manage the manager’s diary and schedule appointments.
- Prepare meeting agendas and keep accurate records (minutes) of discussions.
- Handle all logistical arrangements, including booking venues for meetings and workshops.
Financial and Resource Management
- Write reports and manage the procurement process for the unit.
- Coordinate payments to service providers and track monthly expenses.
- Manage petty cash and handle staff leave registers and telephone accounts.
- Track all incoming and outgoing documents to ensure deadlines are met.
