About the Role
The Agricultural Research Council (ARC) is seeking a professional and organized Administration Assistant to provide essential support to the nutrition team. The successful candidate will handle daily office operations, financial administration, and procurement tasks to ensure the department runs efficiently.
Key Responsibilities
Office Administration and Secretariat Services
- Coordinate meetings by managing agendas, attendance registers, and minutes.
- Arrange venues and refreshments for team events.
- Manage office supplies and monitor the use of printers and copiers.
Procurement and Finance
- Handle all travel arrangements, including bookings, tickets, and logistics.
- Manage procurement processes using SAGE, including requisitions, quotations, and invoices.
- Oversee petty cash, including withdrawals, approvals, and budget tracking.
- Liaise with suppliers and contractors regarding orders and service delivery.
Supervision and Asset Management
- Supervise inventory and conduct monthly stock counts.
- Manage the signing-out system for electronic equipment and ensure it is properly maintained.
- Conduct quarterly asset checks.
- Oversee the performance of contracted cleaning staff.
General Support
- Liaise with the IT department for server room logs and printer maintenance.
- Assist with the maintenance of the office building and transport matters.
- Help prepare and staff company exhibitions and events.
- Maintain health and safety standards, including first aid kits and fire equipment.
Job Requirements
- Matric/Grade 12 certificate with at least 5 years of administrative experience.
- A Diploma in Administration or Secretarial studies is preferred.
- Previous experience using SAGE or ESS systems is highly beneficial.
- Strong experience in project administration and petty cash management.
- Proficiency in Microsoft Office Suite.
- Excellent communication skills (both written and verbal).
- A valid South African driver’s license.
- Experience working in an ISO 17025 accredited laboratory is an advantage.
- Ability to work independently and as part of a large team while maintaining strict confidentiality.
