The department handles construction projects, property management, and maintenance for essential facilities like schools and hospitals.
Job Purpose
The Department is looking for a reliable Registry Clerk to manage office records and provide administrative support. This is an entry-level position suitable for someone who is organized and detail-oriented.
Requirements
- Grade 12 (Matric) or an equivalent qualification.
- No previous work experience is required.
Key Responsibilities
Registry and Customer Service
- Assist visitors at the registry counter and answer telephone inquiries.
- Receive, register, and handle hand-delivered mail and files.
Correspondence and Mail Management
- Sort, register, and distribute incoming and outgoing mail.
- Update staff on registry procedures and notices.
- Operate the franking machine and maintain the postage register.
- Ensure all mail is official and prepare postbags for delivery to the Post Office.
- Manage the remittance register for valuable items and ensure they are delivered to the finance department.
Record Keeping and Filing
- Open and close files according to the official classification system.
- Store, trace, and retrieve documents both manually and electronically.
- Maintain index cards for all department files to ensure everything is easy to find.
Archiving and Disposal
- Scan documents for electronic storage.
- Sort and package old files for archiving or disposal.
- Maintain accurate lists and records of all archived documents for the supervisor.
