Role Overview

The Retail Admin Controller will support store management by coordinating and organising administrative processes. The goal is to deliver high‑value, efficient back‑office support across Spitz, Kurt Geiger, Gant, and Eden Park stores.

Reporting Structure

Reports to: Projects and Store Development Executive
Direct Reports: None

Key Responsibilities

  • Provide timely, accurate information to support decision‑making and store service.
  • Coach store management and shift runners as needed.
  • Respond to call logs within 3 days.
  • Submit admin reports within 48 hours of completion.
  • Compare current reports with previous ones and highlight repeat findings.
  • Plan and execute stock takes on time with minimal errors.
  • Deliver operational admin KPIs.
  • Maintain stock loss levels in line with brand standards.
  • Achieve admin scores of 90% or higher across all brands.
  • Report exceptions to the Regional or Ops Executive.
  • Perform two CCTV remote checks per month, identify risks, and recommend solutions.
  • Identify and report risk items that could negatively impact the company.
  • Complete in‑store observation checklists and highlight out‑of‑line issues.
  • Attend morning stock counts and verify accuracy.
  • Confirm factual accuracy of all findings and recommend improvements.
  • Verify shoe pairing during admin checks (50 Spitz, 20 KG & GC).
  • Complete two OHASA checks per year per store using the mobile app, including action plans and photos.
  • Focus on cost reduction by analysing market costs for flights, accommodation, meals, petrol cards, and other travel expenses.
  • Submit monthly travel claims in line with the travel policy.

What You Need

  • At least 3 years of experience in a similar retail environment.
  • Minimum 1 year in a Store Manager or Store Admin Manager role.
  • Experience in a Retail Admin or Internal Control role is a plus.
  • Matric/Grade 12/NQF4 qualification.
  • Studying for an Administration or Retail Management degree or diploma is highly advantageous.
  • Proficiency with MS Office Suite and SAP.
  • Ability to travel 80–90% of the time, including overnight stays and occasional week‑long trips.
  • Valid South African manual driver’s licence.
