Role Overview
We are looking for a Team Assistant to join our Technical & Strategy (T&S) department. Reporting to the Head of Engineering, you will provide essential administrative and logistical support to ensure the team operates efficiently. This position is at a Band A4 level.
Key Responsibilities
Safety and Compliance
- Follow all health and safety procedures and maintain a clean, organized workspace.
- Help create a safe environment where the team can work with minimal risk.
General Administration
- Manage and update team calendars and schedule appointments.
- Take minutes during meetings and assist with departmental presentations.
- Order office supplies and stationery.
- Book meeting rooms, catering, and necessary equipment.
- Handle expense reconciliations and process invoices for payment.
- Create SAP orders and compile monthly feedback reports for stakeholders.
Document Management
- Process and file documents according to company policy to ensure they are easy to find.
- Prepare reports, briefing papers, and presentations.
- Help the team use the correct company templates and guidelines.
- Research and find specific documents or manuals when requested.
- Distribute important memos and legislative information to the right people.
Travel and Logistics
- Organize travel, visas, and accommodation following company policies.
- Coordinate visits for consultants and external providers.
Requirements
Qualifications:
- Grade 12 or N3 Technical qualification.
- A certificate or diploma in Office Administration (NQF Level 4).
- A valid South African Driver’s License.
Experience and Skills:
- 2 to 3 years of experience in a professional office administration role.
- Strong skills in Microsoft Office (Word, Excel, and PowerPoint).
- Experience using SAP software.
- Basic knowledge of Customer Relationship Management (CRM).
- Proven experience in managing schedules and complex travel arrangements.
