Job Overview
The Time & Attendance Administrator will manage all aspects of employee timekeeping and attendance data. The role involves troubleshooting system issues, maintaining accurate records, and preparing reports for payroll and management.
Key Responsibilities
- Contact service providers to resolve technical issues and restore system functionality.
- Switch to manual recording procedures when system downtime exceeds specified timeframes.
- Use software tools to create operational reports and formats.
- Verify employee information entered into the system.
- Identify and report malfunctioning clock stations.
- Ensure new employees have access and remove former employees from the payroll file.
- Check and verify time and attendance calculations and totals.
- Distribute time and attendance information to relevant departments to identify and resolve anomalies.
- Prepare time and attendance files for transfer to the payroll system, including format conversion and uploading.
- Generate reports on overtime, leave, absenteeism, and other employment conditions.
- Maintain documentation and filing of all related records.
- Respond to queries and inquiries regarding time and attendance.
Qualifications & Experience
- Matric with a relevant tertiary qualification is preferred.
- At least 2 years of experience as a Time & Attendance Clerk or similar role.
- Proficiency in Microsoft Excel, Outlook, and best time and SAP systems.
- Strong attention to detail, integrity, and confidentiality.
- Excellent communication skills.
- Ability to work independently without supervision.
