Job Description
We are looking for an enthusiastic Van Sheet Clerk to join our team in Pretoria West. The successful candidate will be responsible for processing driver van sheets and internal documents accurately and efficiently, ensuring all tasks are completed to the satisfaction of the Van Sheet Controller.
Key Responsibilities
- Process driver van sheets and internal documents (stock in van, credit notes, credit returns, manual invoices, etc.) accurately.
- Complete all processing for the previous day by 11:00 a.m. the following morning.
- Maintain good relationships with drivers and assist them with van sheet queries.
- Finalize driver’s/IDC’s recon on time and ensure it is signed by both the driver/IDC and the recon clerk daily.
- Report any pricing differences immediately to the relevant person and the Van Sheet Supervisor.
- Scan all PODs (invoices and external documentation) daily on Capisol and clear the Capisol queue.
- Record credit note numbers on the relevant claim documents.
- Scan all claims on Capisol and match them with the corresponding credit note numbers before starting the current day’s work.
- Ensure payments are processed and appear on the front page before printing driver van sheets.
- Adhere to company disciplinary codes and take necessary steps when required.
- Resolve outstanding POD queries daily, ensuring no POD remains outstanding for more than five days.
- Tick off all PODs in Syspro’s invoice register daily.
- Ensure route quantities per van sheet balance back to dispatch quantities.
- Perform housekeeping duties as needed.
- Print driver recon, customer pricing, and route balancing reports for each driver when required.
