About the Job
We are looking for a Work Order Administrator to support our financial and operational processes. The role involves managing purchase orders, invoices, work orders, and client communication.
Key Responsibilities
- Process purchase orders, quotations, and invoices accurately on OnKey.
- Monitor daily work orders and track costs.
- Prepare monthly invoicing templates and meet all financial cut‑off deadlines.
- Maintain supplier reconciliations, contract documents, and audit‑ready records.
- Log, update, and monitor work orders on OnKey.
- Assign calls to service providers, track progress, and ensure SLA compliance.
- Release, track, and close PPMs each month.
- Follow up on open calls, raise delays, and support contractor performance monitoring.
- Respond to client queries professionally and promptly.
- Provide regular updates on work order status and ensure client satisfaction.
- Resolve issues or raise them to the appropriate team.
- Prepare daily, weekly, and monthly reports covering financials, work orders, POs, and PPMs.
- Compile monthly variance reports and provide accurate data for internal and client reporting.
- Maintain accurate records and ensure compliance with Tsebo and client frameworks.
- Compile monthly diesel usage reports for client reporting.
- Create any specialized reports as requested by clients.
Required Skills
- Financial and business acumen.
- Knowledge of facilities management, SLAs, and helpdesk systems.
- Excellent communication and organisational skills.
- Analytical and problem‑solving abilities with strong attention to detail.
- Proficiency in English; additional languages are an advantage.

Qualifications
- Grade 12.
- Bookkeeping/Accounting certification or equivalent.
- Computer literacy: MS Office, OnKey.
- 2–3 years of frontline customer service experience (advantageous).
